The factory price is the starting point

Yes, you can import a food trailer yourself. For some buyers, organising their own purchase and shipment makes sense. The useful comparison is between two complete proposals: what you receive, what you still need to arrange, and who helps if something goes wrong.

A factory quotation can cover the trailer alone. Freight, Australian arrival charges, unloading, assembly and the work needed for your intended menu may sit elsewhere. A locally supplied package may include more of that coordination, but you should still check the written inclusions. Neither a low factory price nor a local address proves that every requirement is covered.

Compare equivalent size, equipment, delivered condition and services. Then consider the time you will spend managing the project alongside preparing your business.

Know what the shipping terms mean

Ask for the named delivery place and agreed Incoterms version. Under EXW—Ex Works—the seller generally makes the goods available at the named premises, without loading them onto the collecting vehicle or clearing them for export. The buyer takes on those arrangements and onward transport.

FCA—Free Carrier—places export clearance with the seller, with delivery responsibilities depending on the named place. It can be a more suitable term for international trade. ICC’s explanation of EXW and FCA helps clarify the distinction.

Not every factory quote is EXW. Whatever the term, ask your forwarder to identify the exact handover point, insurance arrangements and destination charges. “Shipping included” is not the same as delivery, unloaded and ready to operate.

Plan the approvals before the shipment

A factory’s experience with US or European customers is useful background, but Australian suitability needs its own evidence. Verify the trailer, components and installations against the requirements that actually apply. A foreign report may be relevant supporting evidence; it does not automatically establish Australian compliance.

For trailers up to 4.5 tonnes aggregate trailer mass, the federal concessional RAV entry pathway may suit a single import, subject to eligibility. It allows up to four low-ATM trailers in a 12-month period. A VIN may be requested within an eligible application where the trailer has never had one. Check the Department’s low-ATM guidance.

ROVER is the application portal, not an approval. Obtain the appropriate approval before shipping and establish the RAV requirements for your trailer. The government import sequence places approval before shipping. Get specialist advice before payment if the pathway is unclear.

Check the fit-out as well as the vehicle

Federal vehicle approval, state road registration, electrical work, gas installation, food-business registration and permission to trade are separate matters. There is no single certificate that automatically covers them all.

Before finalising a layout, give your menu and appliance list to the relevant council and licensed trades. Ask about handwashing, water and wastewater, ventilation, appliance clearances, usable headroom and power demand. A layout suitable for coffee may need different equipment or assessment for cooking.

For Victorian gas work, have your licensed gasfitter establish the applicable acceptance and certification pathway. Energy Safe’s gas acceptance guidance explains the requirements for complex installations. A material statement about fire-resistant board is not approval of the completed trailer. Check the packed size—not just the container length

“20-foot” and “40-foot” describe container length, not whether the equipment is standard height or high-cube. Check both the internal space and the door opening against a packing drawing. A 40-foot container is not automatically high-cube.

Shipping-line examples below show why door clearance matters. Actual equipment varies. The trailer’s packed dimensions, assembled external height and usable internal headroom are different measurements. Ask whether wheels, axles or the drawbar will be removed, who will reassemble them and what checks follow.

A 20-foot shipment does not automatically mean inadequate headroom. Equally, a longer container does not solve every clearance issue. Consolidated freight, shared-container arrangements and other methods may be available; get a suitable packing plan and an actual transport quote before choosing.

Allow for arrival, unloading and handover

Australian clearance can involve customs and biosecurity requirements. Imported vehicles and machinery need to meet applicable cleanliness conditions and may be inspected. Check the current conditions with your broker before loading, including the packaging. See the Department of Agriculture guidance.

Ask where the container will be delivered, who books unloading, and whether the site has suitable access and equipment. Depending on the packing method, qualified assistance may be needed for lifting, reassembly and checks. Not every trailer arrives disassembled.

Make responsibility for missing parts, damage and rectification clear before payment. Keep potential delay or repair costs separate from the base budget: they are possibilities, not inevitable outcomes. Do not assume every non-compliant trailer can be fixed economically after arrival.

Compare cash outlay and business cost fairly

The cost worksheet uses experience-based allowances supplied by Melbourne Food Trailer, not independently verified market averages or a shipment quotation. The illustrative exchange rate is AUD 1.60 per USD 1. It is not a live bank rate. Different routes, packing methods and inclusions can change the result.

Resolve overlapping charges before adding them. Ask the broker to itemise customs duty, import processing, biosecurity, insurance and tax. Import GST is generally calculated on the taxable importation value, including customs value, applicable duty and international transport and insurance—not by adding 10% to every line in this worksheet. Keep GST-inclusive cash payments separate from any later eligible GST credits. Registration and creditable-purpose requirements apply; recovery is not automatic. Check ATO guidance with your accountant. Costs both buyers face, such as council fees, belong on both sides.

Why there is no “all-in” total here

A packing plan has not established a feasible 20-foot or 40-foot shipment for this comparison. The destination allowance may overlap with unloading or taxes. Adding these figures now could double-count costs or imply a shipping arrangement that has not been checked.

Once confirmed, use: (factory + separate origin costs + chosen ocean freight in USD) × AUD per USD + separate Australian destination costs + separate unloading/assembly.

Then add only genuinely excluded items. Obtain prices for marine insurance, applicable duty and origin documentation, import processing, biosecurity, bank/FX fees, inspections and required modifications. Consider storage, demurrage or detention separately where relevant.

The final GST-inclusive cash total and eligible-credit business cost remain uncalculated until invoices, tax treatment and inclusions are resolved. No automatic duty rate or blanket GST addition has been applied.

Can I import directly?

Yes. Establish the appropriate approval pathway, actual trailer specifications, freight arrangements and Australian requirements before committing. You can use professional agents; you remain responsible for checking what each party has agreed to do.

What does an EXW price include?

Generally, the seller makes the goods available at the named premises, without loading the collecting vehicle or clearing export. The buyer arranges those steps and onward transport. Check the named place, Incoterms version and contract; not all factory quotes are EXW.

What should I verify before paying a factory?

Ask for the exact specification and packing drawing, the applicable approval route and evidence, the VIN arrangements, an itemised quote, payment terms, freight scope and a written defects/remedy process. Resolve any missing evidence before shipment.

Does overseas certification establish Australian compliance?

Not by itself. It may be useful evidence, but its scope, model, applicable standard and acceptance by the relevant Australian authority need checking. Vehicle, electrical, gas and food-business requirements are separate.

What might I need to arrange after arrival?

Depending on the shipment: clearance, inspection, container delivery, professional unloading, reassembly, checks and any agreed rectification. Road registration, food-business requirements and trading-site permissions also need attention. Plan these before shipping where possible.

  • Which approvals and documents apply to this vehicle and fit-out, and who supplies them?

    Vehicle approval and registration, electrical installation, gas work and food-business requirements are separate. Our trailer-specific exhaust/fire-board statement covers only its stated scope. Ask for the vehicle and installation records applicable to the quoted trailer; council and site approvals remain separate.

  • What are the Incoterms, named handover location and insurance arrangements?

    For a direct import, use the Incoterm and named place in the signed factory contract: EXW normally leaves loading and export clearance with the buyer, while FCA has a different handover scope. For a local purchase, agree delivery or collection, location, transport price and responsibility in the quote. Insurance arrangements have not been specified here.

  • Does the packing drawing fit the actual container and door opening?

    This cannot be established from model length. Compare the packed dimensions and removal/reassembly plan with the actual container’s internal space and door opening. Standard and high-cube containers differ; obtain the forwarder’s confirmation before booking. No packing-fit guarantee is made by the example dimensions in this guide.

  • Which fees and taxes are already included, and which are still unpriced?

    The cost cards are owner-supplied allowances. The destination and assembly allowances may overlap, and their tax breakdown is not established. Get itemised quotes before adding them. Import GST and any eligible credits are separate considerations; this guide does not present an all-in total or a guaranteed saving.

  • Who handles unloading, reassembly, inspection and any rectification?

    For direct imports, the buyer arranges the services not covered by the factory or forwarder contract. For local orders, include the agreed handover condition and any assembly or installation in your written quote. Extra cooking equipment, gas work and delivery are not automatically included.

  • What are the payment, cancellation, warranty and remedy terms in writing?
